Document Scanning


Document scanning is the process by which your vital documents are converted into electronic format. SVI can provide the service onsite or off-site, and is able to process your documents from any available source format (Paper, Microfilm, Microfiche, Technical Drawings and Aperture Cards).

SVI’s scanning process is a result of decades of providing document management services.  Our proprietary tools, experienced work groups, and matured processes are geared towards processing high volumes of documents.  Our scanning process boasts of reliability even at full production levels whether scanning onsite or off-site.   

SVI’s document tracking system allows us to track individual documents at every stage of the scanning process guaranteeing our clients that no documents are lost.  Rest assured that your documents are safe with us and your document images are of the highest quality. We can deliver virtually all industry standard image formats and can scan images at any resolution. 

The scanning process consists of the following steps:

Document Preparation 

An inventory is conducted to establish the number of source documents submitted by the client. A corresponding transmittal form is filled out to record the receipt of the source documents from the client’s custodian. Thereafter, the documents are loosened to carefully remove its pages from its bind. Documents are thoroughly checked to ensure that tears are repaired and pages are undamaged. Documents are then sorted into their logical order, and are assigned a sequential file name and batch number.

Scanning

The scanners are calibrated to conform to client settings requirements. Documents are fed into our high-speed and high-resolution scanners, and saved in TIFF, JPEG, PDF, or CAD format.

Quality Assurance

To ensure output quality, images are reviewed for clarity and completeness. As per client specification, SVI's proprietary imaging tool does image de-skewing, de-speckling, de-bordering and other enhancements on image quality.

Rebinding

Documents are reassembled in the order in which they were received. Another inventory is made to physically check the presence of each document before returning the documents to the custodian.
